JOB OPENING: ADMINISTRATIVE ASSISTANT

Part Time Unbenefited (~10-15 hours per week)

Pay Range: $1700-2000/month based on experience

Open until filled, review of candidates will begin on 15 July 2024

ACFD1 is currently hiring an Administrative Assistant to help with general administrative support and office duties within the Fire District.  Albany County Fire District #1 is a Wyoming Fire (Special) District funded by tax payers and property owners that supports the six volunteer fire departments that provide fire suppression, life safety and property protection to residents and property owners of southern Albany County, WY.    This is a part-time position with an average of 10-15 hours per week of work.  The position is expected to attend all ACFD1 regular meetings (typically 1730-2030 every third Wednesday of each month) and attend as many work sessions (typically 1730-2030 every first Wednesday of the month) as possible.  The position could be especially busy during an active wildland “fire season” (June-September). Experience with some aspects of firefighting, emergency medical services or govt/municipal service operations is helpful but not required.

Minimum Requirements:
18 years of age, valid driver license and means of transportation in/around Laramie/Albany County
Ability to pass standard ACFD1 background check
Ability to maintain strict confidentiality
Excellent clerical, organizational and communication (email, verbal, interpersonal) skills.
Fluent in spreadsheet and word processing software

Preferred Qualities:
Experience in some aspect of firefighting, emergency medical services or government/municipal service operations
Website and social-media site development and maintenance
Experience in recording and documenting public meeting minutes
Experience with Google Workspace applications and virtual meeting software

 

Job Duties:
Attend monthly ACFD1 general and work-session meetings (3rd and 1st Wed of each month, typ)
Post meeting notices
Prepare and make available public handouts and documents for monthly meetings
Make website and social media updates
Record and publish public meeting minutes
Enter and maintain firefighter, apparatus and department information into ACFD1 and state/national tracking software (training provided)
Utilize ACFD1 credit card to pay for items and services (PO Box, website, general purchases, etc.)
Check post office mailbox and handle mail as needed
Ensure proper keeping of meeting minutes, financial documents, policies and official ACFD1 records
Support ACFD1 Volunteer Fire Departments and Firefighters
Record and track firefighter pay and incident information including crew and equipment time sheets, per-diem/travel, dispatch expenses and reimbursements
Provide reports to Board, grant specialist and outside agencies on ACFD1 FF, apparatus, stations and calls as required
Coordinate with ACFD1 Board and other ACFD1 cooperators such as the District’s attorney, human resources, bookkeeper(s) and grant specialists.
Coordinate with state insurance agency (WARMS), Wyoming State Forestry and Wyoming State Fire Marshall’s Office.
Interact with city/county/state and federal agencies related to fire/EMS incidents as needed
Track status of approved District and Department projects
Assist in logistics for meetings and trainings (room reservations, setup, virtual meeting, notices, invites, food, etc.)
Other duties as assigned
